Free Invoice Templates Nigeria: Word, Excel and PDF

An invoice template saves time, especially when you are sending your first few invoices. It gives you a structure to follow and helps your customer see exactly what they are paying for.

Word, Excel and PDF templates can all work. The right choice depends on how often you invoice and whether you need to keep a clean record of customers, payments and invoice numbers.

What every Nigerian invoice should include

Before choosing a template, make sure it has space for the essentials:

  • your business name, phone number, email and address
  • the customer’s name and address
  • a unique invoice number and invoice date
  • a clear description of each product or service
  • quantity, rate and line total
  • a due date or payment terms
  • bank details or another agreed payment method
  • Tax ID, VAT details or registration details where they apply

Word invoice templates

Word is useful when you send occasional invoices and want a document that is easy to edit. Keep one clean master copy, then use Save As for each new customer. Do not overwrite last month’s invoice and change only the amount.

The main risk with Word is manual error. It is easy to forget to update the date, the customer name or the invoice number. Check the total again before exporting to PDF.

Excel invoice templates

Excel can become difficult when several people edit the same file or when a business has many repeat customers. A spreadsheet is a record only if it is organised and backed up.

PDF invoice templates

Customers usually prefer a PDF because it is less likely to change after it is sent. Create the invoice in Word, Excel or an online tool, check it carefully, then export the final version to PDF.

Keep the original file and the PDF together. If the customer pays partly, issue a receipt or statement that clearly shows the balance rather than editing the old PDF without a record.

Before sending your invoice
