An e-invoice is more than a PDF attached to an email. In the tax context, it can involve structured invoice data being shared and validated through an official or approved system. The practical requirements, timing and availability depend on the taxpayer and the current rollout.

For that reason, do not rely on a social media post or an old blog post to decide whether a new requirement applies to your business. Start with the NRS Self-Service Portal and current NRS announcements.

What small businesses should do now

Even if a business is not yet asked to use a particular e-invoicing route, the preparation is useful:

  • keep customer names, addresses and tax details accurate
  • use unique invoice numbers
  • describe goods or services clearly
  • store issued invoices, receipts and credit notes
  • separate taxable and non-taxable items where relevant
  • keep payment references and delivery documents with the invoice

These habits make an eventual system change easier and improve everyday payment follow-up.

Do not confuse e-invoicing with an emailed PDF

An emailed PDF can still be a useful business invoice. A regulated e-invoice may have additional technical, validation or reporting requirements. If a large customer asks for one, ask them exactly what format, reference or portal process they need. Do not promise “NRS-compliant e-invoicing” unless your workflow has been specifically approved for that purpose.

A good invoice record

Tax records and e-invoicing

E-invoicing does not remove the need for accurate tax records. The current NRS system provides taxpayer services for returns, payments and e-invoicing-related activity. Keep the source documents that support what is entered in any portal.
