Before you press send

Check the recipient, invoice number, amount, currency, due date, attachment and payment details. Sending a corrected invoice immediately after the first one can cause delays in an accounts department.

Frequently asked questions

Should I attach a PDF or send a link?

Either can work. A PDF is easy for an accounts team to store, while a secure link may provide a current payment status. Avoid sending sensitive customer information through an untrusted link.

Can I send the same message through WhatsApp?

Yes, but shorten it for chat and attach the professional document. Read our WhatsApp invoice guide.

When should I follow up?

A reminder shortly before the due date is reasonable. After the deadline, follow up promptly and keep a record of every message.
