An LPO, or Local Purchase Order, is a buyer's formal instruction to a supplier. It normally describes what the buyer wants, the agreed price, delivery terms and the reference the supplier must quote on later documents.

How to complete each section

LPO number

Use the buyer's official sequence. The supplier should not invent or change this number.

Item description

Be specific enough to prevent disagreement. Include model, size, grade, service scope or another specification where relevant.

Quantity and price

Make sure the units are clear. Ten boxes, ten cartons and ten pieces are different commitments.

Delivery terms

State where and when delivery should happen, who will confirm acceptance and which supporting documents are required.

Payment terms

Explain when the payment period starts. For example, 30 days after delivery may mean something different from 30 days after an accepted invoice.

What should a supplier do after receiving an LPO?

  1. Confirm the buyer's identity.
  2. Check the scope, quantity and price.
  3. Resolve any difference from the original quotation.
  4. Confirm the delivery and payment terms.
  5. Deliver the goods or services.
  6. Obtain delivery or completion evidence.
  7. Send an invoice quoting the LPO number.

Where does the LPO number go on the invoice?

Place it near the invoice number and date. Label it LPO Number, PO Reference or the wording required by the buyer.

Do not replace your invoice number with the LPO number. They identify different documents.

Common reasons an LPO invoice is rejected

  • The LPO number is missing.
  • The invoiced quantity exceeds the order.
  • The price does not match.
  • The buyer has not accepted delivery.
  • The supplier name differs from the vendor record.
  • Required tax or supporting documents are missing.

Frequently asked questions

Is an LPO proof of payment?

No. It records an order or purchasing commitment. A receipt or confirmed payment record proves payment.

Can a supplier invoice before delivery?

Follow the agreed contract and buyer instructions. Some arrangements allow deposits or milestones, while others require accepted delivery first.

Can I turn a quotation into an LPO?
