A generic invoice can work, but it often leaves out the details that make payment straightforward. A haulage customer needs a waybill reference. An event client needs to see the deposit, balance and event date. A vehicle buyer needs the make, model and vehicle identification details.

The best invoice template is not the longest one. It is the one that makes the job, amount due and payment terms easy to check.

The details every template should include

Start every invoice with:

  • your business name, address, phone number and email
  • your customer’s legal name and contact details
  • a unique invoice number and invoice date
  • a due date or clear payment terms
  • a description, quantity, rate and amount for each item
  • VAT details where they apply
  • bank details or another approved payment method
  • your Tax ID or business registration details where relevant

Event planning invoice template

Event work is often paid in stages. Make the scope and payment milestones clear.

Add the event name, event date, venue and a short note explaining what is included. If the customer approves extras later, issue a revised invoice or a separate invoice. Do not quietly change the final balance.

Haulage and logistics invoice template

For haulage, payment delays often happen because the invoice does not match the dispatch or delivery documents. Add references that let the customer’s accounts team match the job quickly.

Show the vehicle registration, waybill or consignment note number, pickup date, delivery date and signed proof of delivery where available. Keep the invoice description consistent with the LPO, delivery note and agreed quote.

Vehicle-sale invoice template

A vehicle invoice should identify the vehicle, not just say “car sale”.

Include the vehicle make, model, year, registration number, mileage and VIN or chassis number where appropriate. State whether the sale is subject to a deposit, whether the vehicle is sold as inspected and which documents will be released after cleared payment.

Use a template without making every invoice identical

Save your core business details and reusable services, then edit the job-specific section each time. A good template reduces typing, but it should never make a customer receive an invoice for the wrong amount or service.

Common template mistakes

Do not leave the due date blank, use the same invoice number twice or show personal bank details that do not match the business receiving payment. For goods or logistics work, make sure the description agrees with the quotation, LPO, waybill or delivery note. These small checks are often what prevent an accounts team from returning an invoice for correction.
