Security Service Invoice Template Nigeria: Example and Guide
Security providers often bill monthly under a contract. The invoice should make the covered period, site, number of guards and agreed service level easy for the customer’s finance team to verify.
What to include
Use your business name, contact details, customer name, unique invoice number, invoice date, due date and payment instructions. Add the information that lets the customer connect the bill to the actual job: service site, contract reference, billing period and number of guards.
Your line items can include:
- Guarding service for the billing period
- Supervisor or control-room support
- Approved equipment or extra shift coverage
Do not merge every cost into one vague “service charge”. Separate the main service from delivery, materials, third-party costs or approved extras. It helps the customer approve the invoice and helps you explain the total later.
Simple invoice example
| Description | Amount |
|---|---|
| Main service or project fee | ₦250,000 |
| Approved materials or additional work | ₦75,000 |
| Invoice total | ₦325,000 |
Use your actual quotation and agreed price. The example shows how to structure the document, not what your service should cost. If a customer gives you an LPO, include its reference separately rather than using it as your invoice number. Our invoice number guide explains a simple numbering system.
Deposits, changes and final balances
Issue the invoice before the agreed payment date and keep any approved additional shifts separate from the regular monthly charge.
If the scope changes, issue a revised quotation or a separate invoice for the approved extra. Do not silently add a charge after the job. For staged payments, show the original total, each amount received and the balance still due. Our partial-payment invoice guide has a practical example.
Details to check before sending
Confirm the service period, site address, guard numbers, agreed monthly fee and approved extras. Check the customer name, total, due date and bank details as well. If VAT is applicable to your transaction, show it separately and check the calculation with the Nigeria VAT calculator. Do not add VAT merely because another supplier does.
Create a professional invoice
You can create an invoice online, download a PDF and keep a copy with the quotation, payment evidence and delivery record. When payment arrives, issue a receipt that refers to the same invoice. See our invoice versus receipt guide for the difference.
Frequently asked questions
Should I show a deposit on the invoice?
Yes. Show the original total, the amount and date received, and the remaining balance. This avoids the customer paying the full figure twice.
Can I use the same template every month?
Use the same branded layout, but issue a new invoice number and update the period, scope and balance for every invoice.
What if the customer pays late?
Send a polite follow-up that repeats the invoice number, amount and payment instructions. Our payment reminder templates can help.
