One document may be marked paid, but that does not make every invoice and receipt identical. The safest approach is to keep a clear link between the sale, tax and payment records.
What is a VAT invoice?
A VAT invoice identifies the supplier, customer, taxable items and VAT charged. It should make the calculation easy to follow.
A practical format includes:
- Supplier name, address and Tax ID
- Customer details
- Unique invoice number
- Invoice date
- Description of goods or services
- Quantity and price
- Taxable subtotal
- VAT rate

What is a VAT receipt?
People use the phrase “VAT receipt” in more than one way. They may mean a sales receipt that shows VAT, a receipt confirming payment of a VAT invoice, or an official tax payment acknowledgement.

For a customer payment receipt, show:

- Payment date
- Amount received
- Payment method and reference

The invoice requests ₦430,000.
If the customer pays ₦200,000, the receipt confirms ₦200,000 received and shows a balance of ₦230,000. It should not claim that the full invoice has been settled.

Can one document serve as both?
A paid invoice can provide useful evidence of the sale and payment if it clearly shows the payment date, amount and reference. Some businesses still issue a separate receipt because customers, schools, procurement teams or auditors request one.
Whichever method you use, avoid duplicate sales records. Keep one invoice and link every payment to it.
What should the customer keep?
The customer should retain:
- The invoice
- Payment confirmation
- Receipt or paid status confirmation
- Credit note or correction, if issued
- Contract or purchase order for significant transactions

A business receipt from a supplier is not the same as an acknowledgement issued after paying tax to the Nigeria Revenue Service.
