Bank Transfer Receipt Nigeria: Template and Proof of Payment
When a customer pays by bank transfer, there are usually two records:
- The bank's transaction confirmation.
- The seller's receipt confirming that the money was received for a specific invoice or purchase.
They are related, but they are not the same document.
What is a bank transfer receipt?
A bank transfer receipt or confirmation is produced by the bank or payment provider after a transfer is initiated or completed. It normally shows information such as the amount, date, beneficiary and transaction reference.
A business payment receipt is issued by the seller after checking that the money arrived. It explains what the payment was for and connects it to an invoice, order or customer account.
Do not rely on a screenshot alone. Screenshots can be altered, and some banking apps show a confirmation before the receiving bank completes the credit. Check the actual account or payment dashboard.
Information to include on a business receipt
Use these fields:
- Receipt number
- Payment date
- Customer name
- Amount received
- Payment method, such as bank transfer
- Bank or payment reference
- Related invoice number
- Description of the goods or services
- Balance remaining, if it was a part payment
- Business name and contact details
- Name of the person confirming the payment, where appropriate

The receipt should say “received” only after the business confirms the credit.
Receipt wording you can use
We confirm receipt of ₦185,000 from Amina Bello by bank transfer on 4 August 2026. This payment has been applied to Invoice INV-2026-0092. The remaining balance is ₦185,000.
Keep the sentence factual. There is no need for complicated legal language.
Do not create or alter a bank document
A receipt generator should be used to create your own business receipt. It should not be used to copy a bank's interface, logo or transaction confirmation.
Never create a receipt for money that was not received. A false proof of payment can expose both the sender and the business to fraud allegations.
If a customer says they paid but the credit is missing, ask for the transaction reference and advise them to contact their bank. Do not mark the invoice paid until you can confirm the money.
How to link a receipt to an invoice
Always show the invoice number on the receipt. This makes it easier to update the customer balance and answer future questions.
If the customer paid the full amount, show a zero balance. If the customer paid only part, state the amount received and the balance outstanding. See our guide to recording partial payments.
How should receipts be numbered?
Use a unique and consistent sequence, such as:
- RCP-2026-0001
- LAG-R-00428
- PAYMENT-1096

Frequently asked questions
Is a transfer screenshot proof that I have been paid?
It may support the customer's claim, but you should still confirm the credit in the receiving account.
Can I issue a receipt before the transfer arrives?
No. You can acknowledge that payment is being checked, but issue the final receipt only after confirmation.
Should the receipt show the customer's bank account number?
Usually, a full account number is unnecessary. Use the transaction reference and mask sensitive information if any account detail must be shown.
