LPO vs PO in Nigeria: Meaning and Key Differences Guide

LPO vs PO in Nigeria: Are They the Same?

In many Nigerian organisations, LPO means Local Purchase Order. PO means Purchase Order.

The documents often perform the same basic job: a buyer uses them to authorise the purchase of goods or services from a supplier. The exact wording depends on the organisation and its procurement system.

What is an LPO?

An LPO is a formal order issued to a supplier. It normally states:

  • LPO number
  • Buyer and supplier
  • Items or services ordered
  • Quantity
  • Unit price and total
  • Delivery location
  • Delivery date
  • Payment terms
  • Authorised signatories or approvals

The word “local” often distinguishes the order from an import or foreign purchase process. It does not mean every organisation uses a separate document for local and international orders.

What is a PO?

A purchase order is also a buyer-issued document that confirms what the organisation wants to buy and under what terms.

Some Nigerian businesses call every purchase order an LPO. Others use “PO” in their accounting software and “LPO” in everyday conversation. A large company may use separate categories for local orders, foreign orders, service orders and framework agreements.

The practical difference

There is no universal rule that makes every LPO legally or operationally different from every PO. Look at the content and the buyer's procedure.

LPO and invoice are not the same

The order comes from the buyer. The invoice comes from the supplier.

The order says, “We authorise this purchase.” The invoice says, “Please pay for the goods or services supplied.”

After delivery, the supplier should create an invoice that matches the order. Use the free invoice generator and place the LPO or PO number in the reference field.

What if the buyer sends both an LPO and a PO?

Ask the buyer which reference accounts payable needs. One document may be an internal approval while the other is the final order sent to the supplier.

Do not guess. Put the required reference on the invoice and keep both records with the delivery evidence.

How to check an order before accepting it

Confirm:

  1. The buyer's legal name and contact person.
  2. The order number and issue date.
  3. The items, quantities and specifications.
  4. The agreed prices and currency.
  5. The delivery deadline and location.
  6. The payment term and its starting date.
  7. Any tax deductions or documentation requirements.

If the order conflicts with your quotation, ask for an amendment before delivery.

Is an LPO a guarantee of payment?

It is evidence of an authorised order, but it does not remove every payment risk. Verify that the order is genuine and that the issuing person has authority.

Payment may depend on correct delivery, acceptance and a complete invoice pack. The guide to how LPO payment works explains the full process.

Create and store an LPO template

Buyers can start with the Nigerian LPO template. Suppliers should save the order together with the quotation, delivery note, invoice and payment record.

Public procurement has additional rules. The Bureau of Public Procurement publishes federal procurement information and standard documents.

Frequently asked questions

What does LPO stand for in procurement?

It usually stands for Local Purchase Order.

Is an LPO the same as a contract?

An accepted order can create contractual obligations, but the wider legal position depends on its terms and the surrounding agreement. Seek legal advice for a disputed or high-value transaction.

Can I invoice without an LPO number?

You can invoice a customer that does not use purchase orders. Where a buyer has issued an order, include its reference to avoid processing delays.
