Phone and Laptop Purchase Receipt Nigeria: Sample and Template

A phone or laptop receipt is more useful when it identifies the actual device. The product name alone may not be enough for a warranty claim, insurance report or company asset register.

This guide explains what a legitimate seller should include after receiving payment.

What should the receipt contain?

Include:

  • Seller's registered or trading name
  • Shop address and phone number
  • Receipt number
  • Date of sale
  • Customer name, if collected
  • Device brand and model
  • Colour and storage capacity
  • IMEI for a phone
  • Serial number for a laptop or tablet
  • Quantity and unit price
  • Discount, if any
  • VAT, where applicable
  • Total paid
  • Payment method
  • Warranty period and basic terms

If the device is used or refurbished, say so clearly. Do not describe it as new.

Only show the real IMEI or serial number on the customer copy. Do not publish it on a public webpage.

Why the serial number matters

A clear device identifier helps:

  • The customer prove which item was purchased
  • The seller handle warranty requests
  • A company add the device to its asset register
  • An insurer review a claim
  • Both sides distinguish between similar devices

Check the identifier against the device before handing it over.

Receipt and warranty are different

The receipt proves the sale and payment. The warranty explains the repair, replacement or support promised by the seller or manufacturer.

Place a short warranty summary on the receipt and provide the full terms separately where needed. State whether accessories, accidental damage, liquid damage and software problems are covered.

What if the customer pays in instalments?

Issue a receipt for each payment. Show the related invoice or order number and the remaining balance.

Business purchases need more detail

When a company buys a laptop for a staff member, include the company name and any purchase order reference supplied by its procurement team. The company may also need a VAT breakdown and supplier Tax ID.

Never fabricate proof of purchase

A receipt generator is for documenting a real sale. It must not be used to invent a purchase, change a price or imitate another shop's receipt.

If a customer loses the original receipt, the seller can issue a duplicate from its records. Mark it “Duplicate” and keep the original receipt number. Do not create a new transaction that never happened.

Create a clear receipt

Frequently asked questions

Can a handwritten receipt be valid?

It can record a genuine sale, but it should still identify the seller, item, payment and date clearly. A digital record is easier to retrieve later.

Should the receipt show the full IMEI?

Show it on the private customer copy when it helps identify the phone. Do not expose it publicly.

Can a customer use a receipt to prove ownership?

A genuine receipt can support proof of purchase, but another organisation may request additional evidence such as payment records, identification or the device itself.
