A school fees invoice tells a parent or sponsor what must be paid. A receipt confirms what the school has already received.
Keeping those documents separate makes fee records easier to understand and reduces disputes at the bursary.
What should a school fees invoice include?
Add the following information:
- School name, address and contact details
- Invoice number
- Invoice date and due date
- Student's full name
- Admission or student number
- Class or programme
- Academic session and term
- Parent or sponsor name
- Each fee as a separate line
- Discounts, scholarships or credits
- Amount already paid
- Balance due
- Approved payment instructions
Do not place a child's sensitive information on a public link. Share the invoice only with the parent, sponsor or authorised recipient.

If payment can be made in instalments, state the amount and deadline for each instalment.
Invoice, bill and receipt
Schools often use “bill” and “invoice” for the same pre-payment document. What matters is that it clearly shows the charges and amount due.
A receipt is different. It should be issued after the school confirms a payment. If a parent pays ₦100,000 towards a ₦250,000 invoice, the receipt should show:
- Amount received: ₦100,000
- Related invoice number
- Balance remaining: ₦150,000

Make every charge easy to understand
Avoid one line that says “school fees”. Parents may need to know whether the total includes uniforms, books, meals, examinations or transport.
Separate optional charges from compulsory charges. If a transport fee applies only to some pupils, do not include it without explanation.
Add useful payment instructions
State:
- Account name
- Bank name
- Account number
- Payment reference to use
- Where to send proof of payment
- Who to contact if the payment is not reflected
Ask parents to use the student's name or number as the payment reference. This helps the school match transfers to the correct account.
Protect against payment errors
The school should verify every transfer before issuing a receipt. A transfer screenshot alone may not confirm that the account was credited.

What about VAT?
Tax treatment can depend on the institution and the exact goods or services supplied. Current taxpayers should confirm their position through the NRS Support Portal or a qualified adviser.
Do not automatically add VAT to every school charge without checking the applicable treatment.
