School Fees Receipt Template Nigeria: Sample Generator

A school fees receipt confirms that a school has received money for a named student and a stated academic period. It should show the amount paid, payment date, purpose, receipt number and any balance still outstanding.

A receipt is not the same as a school fees invoice. The invoice requests payment. The receipt confirms money received.

This example makes it clear that the payer has not settled the full term balance.

What a school fees receipt should contain

Include:

the school's legal or recognised name
school address and contact details
a unique receipt number
payment date
student's full name
admission or registration number
class, session and term
payer's name
fee description
amount due, amount paid and balance
payment method and transaction reference
name or signature of the receiving officer
school stamp or digital verification, where used

Do not issue a receipt that only says “school fees paid” without identifying the student or period.

Full payment receipt example

When the payer settles the complete amount, show a zero balance:

Avoid writing “paid” when there is still a balance.

Partial payment receipt example

For instalments, record each payment separately and link it to the student's account.

Each receipt needs its own unique number. Do not edit the first receipt to make it look as though the full amount was paid on the original date.

The invoice, receipt and student statement should use the same student identity and academic period.

How to create a school fees receipt

Confirm that the payment has reached the school's account or cashier.
Find the correct student account.
Select the session, term and fee items being paid.
Record the payment amount and method.
Calculate the remaining balance.
Assign the next receipt number.
Review the payer, student and figures.
Send the receipt by email, WhatsApp or print it for collection.

Preventing receipt mistakes and fraud

Issue receipts only after payment confirmation.
Restrict who can create or cancel receipts.
Never reuse a receipt number.
Record voided receipts rather than deleting them.
Reconcile daily receipts with bank and cash records.
Put the student's admission number on every document.
Use a verification link or school contact where possible.

A screenshot of a transfer is not final proof that money has settled. Confirm the transaction independently before issuing an official receipt.
